Credit notes are used to adjust previously issued invoices (fee notes). They allow you to correct errors ensuring that the client’s account accurately reflects the amount owed.
Steps:
- Log into the system
- Go to Client Invoicing module, under Fee Notes, Credit Notes section link and click on the Credit Notes link.
- Click on the “New Credit Note” button at the top left
- A pop-up form will open for you to fill in the required details as below:
- Client: Select the client to whom the credit note applies.
- File: Choose the specific file related to the credit note.
- User Assigned: Select the user responsible for this credit note.
- Attach to a Fee Note: Link the credit note to the relevant fee note so that adjustments can be reflected correctly.
- Approver: Choose the person authorized to approve this credit note.
- Currency: Select the currency in which the credit note should be issued.
- Item Type: Specify the type of item being credited
- Item Category: Classify the item under the correct category
- Amount: Enter the value of the credit note.
- VAT: Indicate the applicable VAT amount (if any).
5. After confirming all details are correct, scroll down and click on Save Credit Note.
6. The system will record and store the credit note against the client’s account after approval
