A credit note is used to adjust a previously issued invoice. It may be used to correct errors, reverse part of a charge or make another adjustment to ensure that the invoice accurately reflects the amount owed.
Steps:
- Log in to the system.
- From the main dashboard, go to the Client Invoicing module.
- Under the Fee Notes, Credit Notes section, click on Credit Notes.
- To create a new credit note, click on the New Credit Note button located at the top-left corner of the page.
- A form will appear. Complete the required details as follows:
- Client – Select the client to whom the credit note applies.
- File – Select the specific file related to the credit note.
- User Assigned – Select the user responsible for handling the credit note.
- Attach to a Fee Note – Select the relevant approved fee note to which the credit note should be attached.
- Approver – Select the authorized person who will review and approve the credit note.
- Currency – Select the currency in which the credit note will be issued.
- Item Type – Select the type of item being credited.
- Item Category – Select the appropriate category for the item being credited.
- Amount – Enter the amount to be credited.
- VAT – Enter the applicable VAT amount, where applicable.
- Once you have confirmed that all the details are correct, scroll down and click Save Credit Note.
The credit note will then be recorded in the system and submitted for approval. Once approved, the credit will be applied to the relevant fee note and the amount will be updated accordingly.
