Internal Time
Internal Time is used to record time spent on office activities and tasks that are not related to any client matter or file. These are day-to-day firm activities but do not get billed to a client. Examples include attending internal meetings, staff training, administrative work, business development or any other general office duties.
Since no client or file is involved, there is no cost or hourly rate associated with internal time entries. However, the time is still recorded to ensure all staff activity is accounted for and productivity across the firm is accurately tracked.
Steps:
How to Add Internal Time
- Log in to the system.
- From the main menu, go to the Client Invoicing module and select the Billable Items section.
- Click on Time Tracking.
- On the Time Tracking page, click the Add Internal Time button at the top-left of the page. This will open the Internal Time Entry form.
Complete the form with the following details:
- Application Date — The date the internal activity was carried out.
- User Assigned — Defaults to your name; the person who performed the activity.
- Activity — The type of internal task carried out (e.g internal meeting, training, administrative work).
- Description — A brief summary of what the activity involved.
- Time Start and End — The time you began and completed the activity.
- Travel and Other — Any additional time spent outside the main activity, such as travel to an internal event or errand on behalf of the firm.
- Once all fields are completed and reviewed, click Apply to save the entry.
Note
Instead of manually entering your start and end time, you can use the built-in timer to automatically track your time. At the top of the Time Entry form, click the Start button before you begin your task. The timer will run in the background as you work, and once you are done, the total time taken will be automatically calculated.
When finished, review all your details and click Apply to save the entry.
Important: You must remain active on the system while the timer is running. If the system logs you out due to inactivity, the timer data will be lost and you will need to start over. To avoid this, ensure you save your entry promptly once the task is complete.
