A file requisition refers to a formal request for funds needed to carry out disbursements or expenses related to a specific file or matter (such as court filing fees, search fees, transport, postage, etc.)
Steps:
- Use your assigned credentials to access the system.
- Once on the dashboard, locate and click on the Case Management module.
- Click on “Instructions” then select “File Instructions” from the dropdown.
- Click on the Add New Instruction button.
- In the pop-up form that appears, fill in the following details:
- Date: Enter the date
- Client- Select the appropriate client
- File - Select the relevant file
- Instruction Type - Client A/C Instructions (Payments & Disbursements)
- Instruction Category – Cash, cheque, EFT, RTGS, SWIFT ETC
- Receiver - Enter receiver’s name
- Currency - i.e. USA Dollar (USD)
- Turn-Around Time (TAT) - the amount of time expected to complete a task or process from the moment it is initiated.
- Priority - This indicates how urgent the instruction is.
- Details – Enter a quick description of the items requested for and amount.
- Add – add the item by clicking on the Add button
- Approver – Select the appropriate approver
- Send Notifications To - Enter user(s) to be notified
5. Review the details entered then click on the “Send Instruction” to submit. The instructions will need to go through approval, acceptance, execution and completion processes as per the work flow.
Below is an instruction Workflow Process
1.Request Submission - An instruction request is initiated and sent for processing.
2. Approval- Request is approved by the designated approver
3. Acceptance - the request is formally accepted for execution.
4. Execution - Once the request is accepted, it is carried out in accordance with the specified instructions, ensuring proper processing.
5. Completion - Upon execution, the request is marked as completed.
This workflow ensures that all instructions are handled efficiently and systematically, maintaining order and accountability in the process.
