How to capture a clerical instruction

A clerical instruction refers to a support task assigned to help ensure smooth progress of a case. These tasks are administrative in nature and can be delegated to different users based on their roles or responsibilities.

Steps:

  1. Use your assigned credentials to access the system.
  2. Once on the dashboard, locate and click on the Case Management module.
  3. Click on “Instructions” then select “File Instructions” from the dropdown.
  4. Click on the Add New Instruction button.
  5. In the pop-up form that appears, fill in the following details:
  • Date: 07-07-2025
  • Client- Select the appropriate client
  • File - Select the relevant file
  • Instruction Type - Clerical Instructions
  • Instruction Category - Non-Cash
  • Receiver - Enter receiver’s name 
  • Turn-Around Time (TAT) - the amount of time expected to complete a task or process from the moment it is initiated.
  • Priority - This indicates how urgent the instruction is.
  • Details - Provide the necessary instruction details
  • Send Notifications To - Enter user(s) to be notified

6. Review the details entered and click “Send Request” to save the instruction. (This awaits, acceptance, execution and completion)

Note
  Both clerical and office account instructions follow a structured workflow to ensure streamlined:

  • Acceptance – The request is to accepted for execution.
  • Execution - The accepted request is then executed according to the specified instructions.
  • Completion - Upon execution, the request is marked as completed.

     This workflow ensures that all instructions are handled efficiently and systematically, maintaining order and accountability in the process.
