Steps:
1. Once logged in to the system
2. On the dashboard, locate the “File Management” module.
3. Within File Management, locate the “Maintenance” section and click on “File Archive”. This will take you to the Archive page.
4. Before you can archive any files, you must create sections (also called “Boxes”) where the files will be stored.
5. These sections help you organize closed or dormant files for easy retrieval later. You can name these sections according to how the physical files are stored for example “Closed Files 2023."
6. To create a box, click on “Add Box”. A form will appear, fill in the required details i.e. Box Type (Closed Files, Dormant Files) and Box Number (label for the box).
7. Once done, click “Add Box Number” to save.
8. Once the boxes are created, you can begin archiving. Click on the category you want to work with, for example “Closed Files” ( it will be highlighted in blue ).
9. The Archive Closed File form will appear, select the files you wish to archive from the list. After selecting the files, click “Archive Closed Files” to save and complete the process.
